Reminder: 2025 MPI Chapter President Yearbook

One way in which we celebrate and bring awareness to the incredible MPI Volunteer Chapter Leaders who lead our Chapters and Clubs is through a “Presidents Yearbook” included in The Meeting Professional each year.  If you have not already done so, please submit your information.

 To ensure we include the latest and most accurate information, please go here to:

  • Enter your first and last name 
  • Enter your company affiliation (leave blank if there’s none)

Reminder: FY2025 Regional Council Chapter/Club Representative Due December 1 and Requires a Board Vote

Your Chapter/Club’s appointment of the FY2025 Regional Council Representative is due no later than December 1. This appointment requires a vote of the current Board of Directors. It is recommended that the representative be a member of the FY2025 Board of Directors, however, it is not a requirement. Once finalized, the Chapter President should submit this form


Chapter Operations Form for 2025

The Chapter Operations Form is no longer an annual required document due on December 1. The document should be submitted to your Regional Operations Manager only when the Chapter’s primary contact person is being updated or when the Chapter has a new administrator. 

The form can now be found in the CLRP > Office of the President > Succession & Transition Planning > Chapter Operations Form 2025. 


Compliance Documents Due December 1

The following compliance documents are due to your Regional Operations Manager on or before December 1: 

  • Strategic Business Plan 
  • Volunteer Leader Agreement 
  • Budget  
  • 18-24 Month Chapter Calendar of Events 
  • Paid Chapter Administrator Evaluation 
  • Chapter Representative for the Regional Council (via this link: this link)  

In addition, all FY2025 Volunteer Chapter Leaders must view the Board 101 and Sexual Harassment Training available on the CLRP. After reviewing the training, you can complete the Volunteer Leader Agreement, which is due on or before December 1.

MPI Year End Office Closure

The MPI office will be closed December 16 – January 1. Happy Holidays and we will see you in the New Year!  


REMINDER: Chapter Dashboard Review

As we approach the close of the 2023/2024 term, please review your Chapter Dashboard in its entirety for errors or missing information. If information requires updating, please use the Missing Dashboard Information template and submit it to your Regional Operations Manager. All updates should be submitted by Friday, December 6 to ensure updates can be completed before year end.  


Chapter/Club Names in Official Documents and Communications

Please note that, as per the MPI Brand Guide, all Chapters/Clubs must adhere to the official Chapter name format for all documents and communications. Example: MPI Northern California  Chapter should be the only format used. MPI Northern California, MPI NC Chapter, NC  Chapter, Northern California Chapter, MPI NCC, MPINC, MPINCC and any other variation of an abbreviated format must be avoided. This applies to all documents and communication created at the Chapter/Club level.

MPI Foundation Scholarships and Plan Ahead Foundation Friendly Fundraising

IMPORTANT Hardship Scholarships for Hurricane Impacted Areas are Available. 

The MPI Foundation is providing support to members in Hurricane Helene or Milton impacted areas. This is a time sensitive application; visit the MPI Scholarship page for more details.  

Scholarships are varied and updated on an ongoing basis, please be sure to share this link with your chapter members. 

 

Foundation Friendly Fundraising 

Here is sweet update from a Chapter that heard our call and ‘just did something’. Their last-minute initiative to add a quick raffle to their Chapter Awards gala generated over $600CAD 

 

“All credit goes to the Awards Gala Committee Chair and her team as it was their idea to auction off the centerpieces for additional funds for the foundation. All the OOP did was approve the brilliant idea. Congratulations again to everyone involved in this incredibly successful event.”

The MPI Ottawa Chapter also plans and donates a percentage of their registration fees for their education sessions to the MPI Foundation on an annual basis as well as a percentage of proceeds from their Annual Charity Auction Dinner.  

This is a great example of a Chapter keeping the MPI Foundation in mind at the board level, being strategic, incorporating and planning their programming to generate their donations and allowing room to be nimble and open to easy opportunities to support the Foundation. 

 

How can your Chapter adopt this mindset? 

Supporting the MPI Foundation is a KPI and it is easy to maximize by setting your chapter up for success by planning for it. 

When you review and update your Job descriptions, P&Ps and SOPs, make the commitment and assign the responsibility and task to the OOP, we recommend the President Elect.  

i.e. 

The President Elect:  

  • will be the designated liaison with the MPI Foundation; 
  • will engage with the chapter board, administration and programming to collaborate and recommend how the chapter will generate donations for the Foundation; 
  • will review, update and submit the annual MPI Foundation Pledge for your Chapter; 
  • will provide an estimate for the chapter MPI Foundation donation for the chapter budget process; 
  • will review progress of donations throughout their term, ensuring donations are made; 
  • will share opportunities for scholarships and grants with chapter membership on a monthly basis. 

 

Is this realistic? 

In a word – YES – If it is not in writing, if you do not give this a home, if you do not assign someone to oversee this, then you are relying on human factors subject to neglect or opinion about the importance of the MPI Foundation to your Chapter and more importantly to your members. If consideration of the MPI Foundation is not part of your Chapter governance, you are missing out. By putting it in writing, by taking the time to review, we are advocating that the Chapter strategically consider if, when and how they can and will support the MPI Foundation. If agreed, logistics can proceed with full support of the board. Should it be decided that now is not the time for a variety of reasons, that decision is also yours to make.  If conditions change, you can always revisit, knowing every donation matters.  

We believe in the benefit of a strong MPI Foundation and that our purpose aligns with yours; 

  • Make the member experience positive.  
  • Provide opportunities through scholarships for learning and advancement for professional and personal growth.  
  • Support Chapters with grants for education or projects that enhance your membership.  
  • Supporting our own MPI community.   

Please know this is not a suggestion to replace any charitable fundraising you do in your home communities for other important causes, but simply, to add the MPI Foundation to your list of benefactors.  

Imagine, if you can update your practices before moving into 2025, how seamless incorporating your consideration and implementation of strategy for the MPI Foundation will be.

Special Committees

MPI’s Anti-Human Trafficking Committee Receives Educational Session from MI’s Attorney General’s Office

On October 10, MPI’s Anti-Human Trafficking Committee welcomed Melissa Palepu, Attorney Specialist in Human Trafficking and Child Abuse with Michigan’s Attorney General’s office.  Melissa provided our committee members with a sobering, yet insightful conversation focused on the great challenges in combatting human trafficking both locally and worldwide.  She provided listeners with important information learned from years of experience with the MI AG’s office, including tips on how to recognize human trafficking and what to do if human trafficking is suspected in the workplace.  The conversation with Melissa was part of a series of educational sessions provided by experts in the field of human trafficking, designed to train and enlighten our committee members.  This in turn allows us to be effective in our mission to have an impact on this horrific crime in our industry.  Thank you, Melissa!
