OVERVIEW
As a conference planner, this position will oversee all aspects of event planning, execution, and post-event evaluation to ensure exceptional conference experiences. The conference planner is a dynamic and multifaceted position that requires strong organizational, communication, and problem-solving skills. By effectively coordinating aspects of event planning and execution, the conference planner contributes to the success and reputation of NYSUT’s highly regarded conferences and events.
PRIMARY RESPONSIBILITIES
- Hotel and conference contract administration including strategic site selection and negotiating rates and terms that are in the best interest of the organization and are in line with NYSUT’s standard contractual terms.
- Planning and coordination of regional conferences and state-wide special events; supporting on-line registration, working within contractual deadlines, logistics, housing guarantees and transportation. Maintain relationships with key hospitality professionals and working to mitigate issues that may impact the event, including weather, staffing, or other issues that arise. Independent on-site coordination of vital conferences including trouble-shooting and basic AV support.
- Key member of NYSUT’s annual Representative Assembly planning team, whose responsibilities include logistical design and implementation. Team lead for registration, hotel, transportation and special event planning. Works with caterers, decorator, electrician, AV, staff, and other vendors to make the event successful for the more than 2,000 members who attend this state-wide annual event.
- Assist other departments with their annual budgets relative to meetings, conferences, and state-wide events.
- As requested, plan special activities including staff events such as summer picnic and allstaff meetings.
- Other duties and responsibilities as assigned.
QUALIFICATIONS

- Bachelor’s degree in hospitality, Travel & Tourism preferred.
- Certified Meeting Professional (CMP) designation recommended.
- 5 or more years of relevant experience in the hospitality industry expected.Familiarity with on-line meeting and registration systems and contractual evaluation.
- Willing and able to travel and work irregular hours that may occasionally include evenings and weekends.
- Affiliation and involvement with a national meeting industry association anticipated.
- Knowledge of and commitment to the American labor movement and its objectives.
